Submitting a Travel Grant Application

The deadline for travel grant submissions has been extended!

The new deadline for submissions is February 29, 2012.

You must be a current (2012) IAFFE member to apply for a travel grant.

IAFFE uses a software program called Conference Maker to manage our travel grant applications.  Applications will ONLY be accepted through Conference Maker.

IMPORTANT INFORMATION - PLEASE NOTE: 

  • Read ALL of the instructions below so you have everything you need before you begin your application.
  • You will only be able to apply ONCE and will not be able to edit your application once it is submitted.
  • If you created an account (USER ID and Password) in Conference Maker to submit a paper last year, use the same account information this year. If you do not have this information, go to the bottom of the Conference Maker login page (see link below) and follow the instructions to retrieve your account information.
  • If you are new to Conference Maker this year, you will need to create an account (USER ID and Password) and submit your paper.  Use the same account to submit your travel grant application.
  • When you create an account, capitalize only the first letters of your name, address, paper title, and all information as appropriate. Your name and information will appear on printed documents such as award letters, certificates, etc. as you entered it.
  • A paper should be submitted in Conference Maker ONLY ONE TIME. The same paper should NOT be submitted by two co-authors.  But co-authors can apply for travel grants.
  • All blanks must be filled in to save and submit your application.
  • Incomplete or inaccurate information will result in your application being voided.
  • Abstracts must be submitted in English, although papers may be initially submitted for review by the travel grant committee in Spanish with translation to English prior to the annual conference.
  • You will receive confirmation by email regarding successfully submitting your application. KEEP this notification for your records.
  • The paper must be original and must not have been presented at a previous IAFFE conference.

INSTRUCTIONS:

1. Full paper submission is required to be considered for a Travel Grant:  Whether you are an author or a co-author, a full paper (along with your abstract of not more than 200 words) must be submitted in Conference Maker before you complete your travel grant application.

2. Abstract:  Your abstract is required for initial review by the Program Committee.   If you only submitted an abstract, you will need to go back into Conference Maker and upload a full paper before you apply for a Travel Grant.

3. Paper ID and Paper Title:  The “Paper ID” automatically assigned by Conference Maker at the time the paper is submitted, will be required to apply for a travel grant.

  • A paper should be entered in Conference Maker ONLY ONCE BY ANY OF THE AUTHORS listed on the paper. 
  • If you are the author who submitted the paper in Conference Maker, the title will self-populate when you apply for a travel grant.
  • If you are a co-author of a paper submitted by someone else, enter the “Paper ID” assigned to the paper and the title.

4. Required Documents:  At the time of your application, you must also upload ALL required documents as listed:

  • Your curriculum vitae (Word or pdf format).
  • If you are a graduate student or postdoctoral fellow, attach a pdf of a signed letter of support from a supervisor endorsing your application.
  • You will be contacted by email at a later time for your picture ID (driver’s license or passport) if we do not have one on file for you from a previous application.

5. Travel Costs in USD:  List in US Dollars the amount of funding requested for the allowable expense as noted below. NOTE: If you are not requesting funds for a certain category, enter 0 (zero).

Travel and Visa Expense - Original Receipts Required.

  • Economy class airfare. You will need to name your departure city. IAFFE will provide travel support for economy flights reflecting the most direct route to and from the conference. Additional travel is not supported.  
  • Flight/baggage insurance.  Insurance that covers cancellations, itinerary changes, and lost baggage WILL be considered as a reimbursable expense for 2012. Flight/baggage insurance will be reimbursed up to $100 USD.  
  • Ground transportation (taxi, train, shuttle)  
  • Hotel expense for a maximum of 4 nights (5 nights may be requested if you are attending the Pre-Conference Workshop)  
  • Visa expense. Please contact your consulate office to inquire further.  
  • The amount of funding available to you from other sources

Travel Allowance – No Receipts Required

  • IAFFE provides a Travel Allowance of $225 USD to each Travel Grant recipient. Travel Allowances may be used for any additional expenses not listed above. These may include, but are not limited to, the following: Additional medical insurance if necessary, food, incidental expenses (telephone, internet, baggage fees etc.).

Registration Fees

  • Registration fee ($150 USD Student; $325 USD all others)
  • Pre-Conference registration fee ($15 USD)

Disclaimer of Liability

In the event that you are awarded a travel grant, you understand that you are solely responsible for making your travel and hotel arrangements, for selecting your transportation carrier and hotel, and for all risks associated with your travel and attendance at the conference for which your travel grant relates. You agree that IAFFE has no responsibility or liability with regard to the provision of your travel, whether by air or otherwise, hotel services (including with regard to safety and security), medical claims for illness or accident, or all other risks associated with your travel and/or attendance at the conference for which your travel grant relates, and you knowingly, intentionally, and expressly (i) release IAFFE, (ii) waive any and all liability, and (iii) agree not to seek to hold IAFFE responsible in any formal or informal forum, venue, or proceeding for any damages or loss incurred as a result of the travel and hotel services paid for by this travel grant.
